Operations & Field
Field Report Intake Agent
Human-approved · Standard · High severity
Works with: D365 CE or Field Service, SharePoint, Outlook, Teams
The problem
Field work (inspections, site visits, service calls) produces photos, notes, and forms that someone in the office must turn into structured records, client-ready reports, and invoicing triggers. The gap between "work done" and "report delivered / invoice sent" is measured in days.
What the agent does
- Trigger: field submission arrives (email with photos/PDF, or file dropped in a job's SharePoint folder).
- Extracts findings from the notes/forms/photos; matches to the job/work order in D365.
- Drafts the structured record: findings by category, severity flags, follow-up items, and a client-ready report draft from the template.
- Human approval: reviewer checks and edits the draft; approved reports file to SharePoint and dispatch to the client.
- Marks the job ready-to-invoice and notifies finance.
You need this if
- Days of lag between field work and client deliverable
- Report quality varies by who wrote it up
- Invoicing waits on paperwork
Who uses it
Field techs/inspectors, office admin, ops manager.
What goes in, what comes out
In: field notes, photos, forms, job record. Out: structured findings, drafted client report, invoice-ready flag.
Why it pays
Report turnaround drops from days to same-day, invoicing accelerates by the same amount, and output quality standardizes.
