Operations & Field
Scheduling Assistant Agent
Human-approved · Standard · High severity
Works with: D365 CE or Field Service, Outlook, Teams
The problem
Booking a job or appointment takes multiple emails: customer asks, office checks availability and territory, proposes times, customer counters, calendar finally updates. Meanwhile techs have gaps and customers wait.
What the agent does
- Trigger: scheduling request arrives (email, form, or from the case intake agent).
- Identifies job type, duration, required skills/certifications, and territory.
- Reads the right calendars; proposes 2-3 slots that fit routing and workload.
- Drafts the offer email to the customer. Human approval initially; auto-send once trusted.
- On customer confirmation, books the appointment in D365/Outlook, notifies the assigned tech, and sends the customer a confirmation with prep details.
You need this if
- Scheduling back-and-forth eats office hours
- Tech utilization has gaps that better packing would fill
- Customers wait days for a booking that takes minutes of actual decision
Who uses it
Dispatcher/office admin, field techs, customers.
What goes in, what comes out
In: request details, calendars, territory/skill rules. Out: proposed slots, confirmed bookings, notifications.
Why it pays
Cuts booking cycle from days to minutes and recovers dispatcher hours daily. Utilization gains show up as revenue with zero added headcount.
Built to be trusted
- Never double-books or overrides a manual hold
- Rescheduling of confirmed appointments requires human approval
- Runs entirely in your Microsoft tenant — first-party connectors, DLP-enforced, your permissions model.
